What kind of service records do you keep for each client?

Quick answer: Every visit generates a digital service log with GPS data, timestamps, crew notes, and dashcam footage. Logs are archived permanently and are available on request for audits, liability documentation, or internal reporting. Dashcam video is retained for 90 days; all other records are multi-year archived.

What each service record contains

  • GPS data — precise arrival, on-site movement, and departure

  • Timestamps for each phase of the visit

  • Crew notes entered on onboard tablets

  • Photo documentation for new accounts and low-visibility conditions

Digital service logs

All records are compiled into digital service logs tied to each property. Clients can request access at any time — commercial clients particularly rely on this for property management audits, insurance claims, and internal reporting.

Retention windows

  • Dashcam video: 90-day active retention

  • Photos and GPS logs: multi-year archive

  • Crew notes and service records: retained with the account
